Rules for Student Paper/Poster Competition  - proposed amendment October 29 2002

1.      The SWAAG Treasurer will appoint a panel of judges. Judges will be responsible for critical evaluation of extended abstracts as well as judging oral presentations.

2.      Each student who wishes to enter the student paper competition must submit both a regular abstract and an extended abstract to the SWAAG Program Committee. The extended abstract should be roughly 500 words in length. Both the regular and the extended abstracts are due on the program deadline day. LATE ABSTRACTS WILL NOT BE ELIGIBLE FOR THE STUDENT PAPER COMPETITION.

3.      The SWAAG Program Committee will send the extended abstracts to the SWAAG treasurer who will then distribute them among the judges. The judges will identify students who have prepared outstanding abstracts as finalists. Each judge will have ten days to review the extended abstracts and convey their ranking of the papers to the SWAAG Treasurer. Papers should be ranked on a scale of 1-10 (with 10 being highest) based on originality of question; organization of research plan; use of appropriate methodology for question; knowledge of background literature and strength of conclusions. Based on the rankings of the judges (an average based on the cumulative ranking of the judges), the SWAAG Treasurer will identify up to ten entries as finalists. As soon as possible the SWAAG Treasurer will convey this decision to the SWAAG Program Committee. Judges must not evaluate entries from their own departments. Rankings for those students will be averaged out of 5 judges rather than 6.

4.      Students who are not selected as finalists will present their papers in regular sessions but will not be considered further for the student paper awards.

5.      Students who are selected as finalists will present their papers in two consecutive sessions on the first day of the conference. Judges will attend the oral presentations.

6.      Following both sessions the judges will convene to determine the winners of the student paper awards. Judging will be based on the quality of the oral presentations and the content of the papers.

7.      Students entering the SWAAG Poster Competition will exhibit their posters in the regular poster session. Poster judges appointed by the SWAAG Treasurer will judge the posters at that time.

8.      Awards for student papers and posters will be announced and presented at the SWAAG luncheon (or banquet) on the last day of the conference.

9.      Student entrants who wish to present their papers in specially arranged sessions and are selected as finalists may do so but they must also present in one of the two student paper sessions. Student paper entries presented in regular sessions will NOT be judged.
